How to watermark a PDF
- Add your PDF. Drop the file onto the box above or tap to select it.
- Type your watermark. Replace CONFIDENTIAL with any text up to 60 characters, such as DRAFT, COPY, SAMPLE or your company name.

Why use Fileora to watermark PDFs
A watermark answers a question before anyone asks it. DRAFT tells reviewers not to circulate a document yet. CONFIDENTIAL reminds recipients how to treat a report. Pair the watermark with page numbers for a document that's ready to send for review. Watermarking adds a little to the file size, so if you're close to an email limit, compress the PDF afterwards. To watermark only certain pages, split the PDF first.
Getting the watermark right
Keep it readable, not overpowering. For documents that people must still read, stay between 15% and 30% visible with a grey or muted colour. Red at high opacity is effective for VOID or NOT FOR DISTRIBUTION, but it makes long text tiring to read.
Short text works best. A single word like DRAFT can be large and bold. Longer phrases are scaled to fit within the page, so they end up smaller; the Repeated layout helps them stay visible across the whole page.
Watermark copies of personal documents. When you're asked for a copy of your ID or a bank statement, a watermark such as "Copy for ABC Lettings, rental application, 2026" makes it harder to reuse the copy elsewhere. Choose the Repeated layout so the mark covers more of the page.
Watermark last. Finish editing, reordering and numbering first, then add the watermark as the final step before sharing.
Check the result. Open the downloaded PDF and look at a text-heavy page and a page with photos or charts. If the watermark hides important figures, lower the transparency or switch from Repeated to Diagonal, then apply it again to your original file.
